Hey everyone! I've been a resident lurker here for a while, and I always learn tons from these forums so I thought someone might be able to help.

Here's some background: I currently work a 9-5 salary job as an in-house graphic designer for a manufacturing company. One of my bosses (I, unfortunately have more than one) often talks to the "higher-ups" of another company that works in relatively the same fields. (Example, the company I work for makes crossbows, the "other" company makes those things you sit in the trees with specifically for use with bows and crossbows.) Recently my boss referenced me to this company to their company to do their catalog and packaging designs.

Here's where I get incredibly confused. I understand the contracts and things like that, payment up front, etc. But what I'm lost in is HOW to make the original quote. I know, it's a stupid thing. The catalog is going to be about 20 pages (5 flats), and the packaging design projects aren't going to be until later so those would be a separate quote all together.

Is there anywhere where I can actually see an example of a quote? What do I quote on? Do I quote on phone consultations? (This is primarily being done over the phone and email.) Do I quote on the original phone call where she gave me the run down? And I am also not going to be doing the printing on this job, so I would hand over the finished catalog on a disk (or some other electronic way) to her and that would be that. So is there some kind of "finishing fee" I guess it would be called?

Is there any books that anyone recommends about this subject?

Thanks so much for all your help!!

I often recommend the AIGA "Professional Practices in Graphic Design" to people. I find that book the most helpful.

Basically what I do is a project overview - a proposal that includes my understanding of what all is entailed in the project, how many proofs I'll agree to do included in my fee, what all I agree to do (calling printers for quotes, submitting finished files on disk, etc.) Payment terms are also mentioned, then at the end I put down my fees. I try to keep this document to one page, sometimes it is two though.

Hope that helps!
