I am searching for a good web based system for sending proofs out to clients, that will track responses, versions, etc...
I found http://www.ProofItOnline.com, but they are, in my opinion, pricy. I have a very simple solution on my site, but nothing great. http://www.jmarketingcorp.com/client_proofs U: demo / P: demo
The problem with my version is that for every proof, I have to manually create a page, create a login, and upload the new image into the new page. It is too much - We have a monthly magazine, and a full client load, so I am doing a couple hundred proofs a month like this...
Has anyone else researched this, or have any suggestions to streamline this proofing process?

That Proof-it-online site seems to offer a pen tool that allows for document mark-ups. I'm not sure if that's needed or not, but it makes it obvious that you're paying more for a service that offers more. Its your call. The JMarketing Group has a nice user interface, but if it makes you set up each page manually, its probably not a good solution.
If it was up to me, I'd set up a message board and post things in there. One thread per project and it allows your clients to respond. Create an account for your client and have them log in as you go.
How about a proofing blog? Password protect the directory the blog is in and allow the client to add comments to posts.

What's wrong with a good old-fashioned email?
Password protected, you can save responses, one "thread" per project etc...

Our system is simple and fast. You get an email that says "your file is ready to proof, here is the PDF link" then the email has two button links to click, one approves the proof, and one declines it. It's a pretty solid system. It's a pretty good, fast system, though not cool as a web based proofing system. But the way I see it, since you are going to be in contact over email with most of your clients, why tell them where to go to download the file when you can just send a low res PDF proof along with with the email?

I'm assuming you are talking about layout proofs, not printing proofs.
The only thing I proof online or via email is corrections to a hard proof I've received. But I'm in a different industry.
I'm still trying to determine if this is a sneaky ad... :D
