    Hello all

    A request for help,

    I am designing artwork for some dividers to be inserted into a binder. As well as about 50 dividers with text and images there are almost a thousand which only require a line of text on the tab (10 part). The information is on an excel spreadsheet.

    I am hoping there is someone who knows of an efficient means of transferring individual cells of text from excel into InDesign in the correct position for printing on tabs. Failing that obscure query, is there any tab creating software out there you would recommend for doing this job.

    The alternative is copying each cell, one by one and pasting it into a template on InDesign but this is obviously tedious and time consuming. There must be an easier way!

    Set up the text frame on the Master Page

    If you're using Spreads then you will need to Thead the Frames on the Master page.

    If the you are using Spreads and only one side has the tab only put the text frame there no threading required (yet)

    Single pages just put in a text frame where the tab is.

    ========================================

    Go to the first page in the layout (not the master page)

    Copy and Paste from Excel -> put this on the paste board, it will be in a table. Select all the cells in the table and choose Table>Convert to Text>Row Separator = Paragaph

    You will have a list of items now

    ================================================== ===========

    Do a find and replace (Ctrl/cmd F)

    Go the GREP tab

    Find

    \r

    Change to

    ~R

    Make sure you select STORY only for the list of titles you brought in

    This will replace all the Paragraph Returns with Frame Breaks

    ================================================== ===========

    Copy the text from the frame

    CTRL/CMD Shift and click on the Master Frame (denoted by a dotted line, if you don't see a dotted line go to View>Show Frame Edges (Ctrl/CMD H)

    Paste the text into this frame

    Click the Red Overflow box

    Go to the next page and SHIFT click in the master frame you have created.


    The text should auto flow to all pages.

      Just occurred to me - are you Tab divisions in the same place on every page?

      Do you have multiple master pages?

        It actually took me longer to type this up than actually doing it. It shouldn't take more than 5 minutes.

        Practice on a blank doc first with about 10 cells from excel.

          Many thanks for the reply.

          You're correct though, the position of the text will change on each page as the tab changes. But the method you have suggested will still save time even if it involves moving the text box on each page.

          So thanks a lot I will pursue with what you suggest.

            How are the tabs positioned on each page? Did you manually do it or through master pages?

            What is the text going on the tab - is it something that resides on the body page itself?

              The page is set up at 222x297mm, A4 with 12mm extra and on the master page I set up 10 text boxes at 29.7mm intervals down the right. I was intending to copy the text from each cell into the relevant text box on each page but to do it this way with the amount of information is just absurd. The remainder of the page is blank for these dividers. What you have suggested still cuts down the work alot.

              If you know of a way to input the data into each text box as they descend the page that would be amazing. Sounds a bit complex though. I was expecting there to be some software capable of setting this up but haven't found any.

                Well at least you'll get the right text onto the pages - then manually position them.

                Once they are setup then reflowing any new text will be easy enough.

                If I think of a better way I'll let you know.

                You could do it with anchored objects.
